Office manager (Portugal)


We are currently seeking an Office Manager for our office in Lisbon. In this role, you will be responsible for overseeing and managing all office processes and providing support to our employees. We are specifically looking for candidates who are currently residing in Lisbon.

Job Responsibilities

  • serve as the primary point of contact for communication with the administration office building, addressing and coordinating all building-related requests;
  • supervise the cleaning service to maintain a clean and organized office environment;
  • identify opportunities to improve and create a cozy atmosphere in the office, enhancing employee comfort and well-being;
  • assist in the oversight of office supplies by coordinating ordering and restocking activities;
  • provide support to new hires by answering their questions and assisting with desk set up. Collaborate with facilities and IT teams to ensure all necessary items are prepared for new employees;
  • aid in organizing events for employees, ensuring smooth coordination and execution;
  • coordinate office guests, ensuring their seamless arrival and departure;
  • manage the courier service, facilitating efficient delivery and pick-up of packages and documents;
  • monitor corporate apartment expenses, including bills for utilities (light, water, internet), and ensure timely payments;
  • communicate with the landlord to address any issues related to the home's condition;
  • facilitate employee insurance processes upon request;
  • assist in clarifying information and resolving issues related to public services, as needed.

Key Qualifications

  • previous experience in office administration, facility management, or a similar role is preferred;
  • strong organizational and multitasking skills, with the ability to prioritize tasks effectively;
  • excellent communication skills, both written and verbal;
  • attention to detail and a proactive approach to problem-solving;
  • ability to work independently as well as collaboratively in a team environment;
  • proficiency in using office software and tools;
  • English proficiency level - B2;
  • knowledge of Portuguese language is considered an advantage.
